This privacy policy describes how KulturSystems collects and uses personal data when you visit kultursystems.com or get in touch with us.

What data we collect

Data you provide yourself. When you email us or request a proposal, we process the details you send: your name, email address, phone number, company details and the content of your message.

Technical data. Our web server keeps standard log files containing, among other things, IP address, browser type and pages requested. We also use Google Analytics to understand how visitors use the site, and Google Translate to offer the site in other languages. These services may set cookies and process data on their own infrastructure.

How we use this data

  • To answer your question and prepare a proposal
  • To prepare and carry out an agreement
  • To meet our legal obligations, such as accounting and invoicing
  • To secure the website and understand how it is used

We do not use your data for unsolicited advertising and we do not sell it on.

Retention period

Non-binding enquiries that do not lead to an assignment are kept for a maximum of two years. Data forming part of an agreement or of invoicing is kept for as long as the law requires.

Sharing with third parties

We share your data only with parties needed to deliver our service, such as our hosting provider and, in the case of an assignment, our accountant. They may use that data only for that purpose. Google may process technical data through Analytics and Translate as described above. Beyond this, we share data only where the law requires us to.

Your rights

You have the right to access, correct, delete and transfer your personal data, and the right to object to its processing. To exercise these rights, send a message to info@kultursystems.com. You may also lodge a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).

Changes

We may update this privacy policy, for example following changes in our practices or in legal requirements. The date at the top shows when it was last updated.
